In plain terms

What is a custom phone announcement?

A custom phone announcement is a short recorded message played within a configured call flow before callers choose a menu option. It can share changed opening times, a temporary service update, an urgent instruction, or information that applies to everyone calling that number. The message gives callers useful context early and can reduce avoidable transfers or repeated questions.

Announcements can be enabled or disabled separately for the configured open and closed call flows.

  • Hours updateTell callers when today's opening or closing time differs from the usual schedule.
  • Service noticeShare a temporary change that affects appointments, deliveries, or availability.
  • Caller instructionExplain what callers should prepare or where an urgent request should go.
What you can do

Put important information before the menu

  1. 01

    Special opening hours

Tell callers about a temporary closure or changed schedule.

  2. 02

    Service update

Share an operational notice before the caller chooses a department.

  3. 03

    Separate open and closed messages

Use the announcement that matches the current business-hours state.

How it works

Change the message without rebuilding the menu

  1. 01

    Choose open or closed hours

Enable the announcement for the state where it should play.

  2. 02

    Write the message

Keep it short, direct, and useful to most callers.

  3. 03

    Save and test

Confirm it plays after the greeting and before the menu.

Choose the right message

Decide whether the information belongs before the menu

01

Every caller needs the update

Use the pre-menu announcement for temporary access instructions, a short service disruption notice, or changed availability.

02

Only one department is affected

Keep the main announcement focused and place narrower information on the relevant menu path or recorded-message destination.

03

The notice has expired

Update or disable the announcement as soon as the event passes so regular callers do not hear stale information.
